# How to Manage Client Projects, Milestones & Tasks | Axumind | Clientlex

Learn how to manage Axumind projects using milestones, deadlines, assigned tasks, subtasks, client visibility, progress tracking, and project completion.

# Understanding Project Workspaces

Projects in Axumind give your agency a dedicated space to organize and track client work.

Each project can be divided into milestones, which represent major stages of delivery, and tasks, which break those stages into smaller activities your team can complete.

This structure helps your team manage the details of project delivery while giving clients a clearer view of overall progress without exposing unnecessary internal work.

## Creating and Managing Project Milestones

Milestones represent the major phases or deliverables within a project. You can use them to organize work into manageable stages, assign deadlines, and track progress towards completion.

For example, a website development project might include:

- **Phase 1: Discovery & Wireframes**

- **Phase 2: High-Fidelity UI Design**

- **Phase 3: Development & Quality Assurance**

- **Phase 4: Final Review & Delivery**

To create a milestone:

- Open the relevant project.

- Navigate to the **Milestones** tab.

- Click **Add Milestone**.

- Enter a title describing the project phase.

- Set a target delivery date.

- Add the relevant deliverables or requirements for the milestone, where applicable.

- Save the milestone.

Repeat these steps to add the remaining phases of your project.

You can use milestone deadlines to establish delivery expectations and give your team a clearer view of upcoming work.

## Managing Tasks and Assignments

While milestones represent the larger stages of a project, tasks help your team organize the individual activities required to complete each stage.

You can break down a milestone into smaller tasks and assign them to the relevant agency team members or contractors.

For each task, you can organize the work using the available task details, assignments, and deadlines.

### Assigning tasks to team members

Assign tasks to the team members responsible for completing them. This makes it easier to identify who is handling each part of the project and what still needs attention.

### Using checklists and subtasks

For work that involves several smaller steps, use checklists or subtasks to break it down into more manageable activities.

For example, a website design task might include:

- Create the initial design.

- Review the design internally.

- Make the requested revisions.

- Prepare the final version.

This gives team members a clearer sequence of actions to follow.

### Managing task visibility

Not every task needs to be visible to clients.

Use the available visibility settings to decide whether a task and its progress should be displayed in the client portal or remain internal to your agency team.

This lets you manage detailed internal work without overwhelming clients with every activity happening behind the scenes, while still keeping them informed about relevant project progress.

## Tracking Project Progress

Axumind provides project progress indicators to help agencies and clients understand how much work has been completed.

As tasks and milestones are completed, the project's aggregate completion percentage is updated automatically.

The progress indicator is displayed in the relevant agency and client-facing project views, helping everyone follow the overall status of the work.

Keeping tasks and milestones up to date helps ensure that the displayed progress reflects the actual state of the project.

## Completing and Archiving Projects

Once the project work is finished and the required milestone deliverables have been reviewed and approved by the client, you can transition the project to **Completed**.

Completed projects remain accessible in read-only mode for future reference.

This allows your agency to revisit previous work, access project assets, and refer to historical information when needed, without accidentally changing a completed project.
