# Agency Workspace Quick Start Guide | Axumind | Clientlex

Learn how to set up your Axumind agency workspace, configure services and payments, manage clients and team members, customize your client portal, and prepare for your first order.

Welcome to Axumind.

Axumind gives agencies a workspace for managing their client relationships, selling services, collecting project requirements, coordinating delivery, handling communication, and managing billing.

Whether you run a marketing agency, creative studio, consultancy, or technical service business, you can configure the platform around the way your agency works.

This guide covers the main areas of your agency workspace and the initial steps to prepare it for client onboarding.

## 1. Understanding Your Agency Dashboard

Your agency dashboard is the starting point for managing your operations. The main navigation provides access to the different areas of the platform.

Here is an overview of the key modules.

### Dashboard

Start here for an overview of your agency workspace and its activities.

### Services

Create and manage the services your agency offers. You can package services as one-time purchases or recurring retainers and configure the information clients provide when placing orders.

You can also manage your public service catalog and customize the ordering experience.

### Intake Forms

Build questionnaires to collect client information, project requirements, supporting documents, and other details needed before work begins.

### Projects

Manage client projects, milestones, tasks, and deliverables. Track project progress and coordinate work with your team and clients.

### Communication

Use project messages to communicate directly with clients. You can also add private internal notes for discussions that should remain visible only to your agency team.

### Files

Store and organize agency and client files. Upload documents, images, and other project assets, and use the available file management and sharing features.

### Invoices

Create and manage invoices for your clients, including billing for custom engagements and recurring retainers where supported by your subscription.

### Clients

Manage client organizations and their associated users. On the Pro plan, you can also invite additional client coworkers and assign Client Admin or Client Member roles.

### Settings

Configure the different parts of your agency workspace, including branding, payment providers, catalog settings, and other available account options.

## 2. Customize Your Client Portal

Your client portal is where clients interact with your agency, access relevant project information, and use the services you make available to them.

To configure your portal appearance, open **Settings → Branding**.

From the Branding settings, you can configure your agency identity and the available client portal appearance options, including your logo, icon, and favicon.

The client portal can carry your agency branding, while the internal agency dashboard retains its own interface.

## 3. Configure Your Service Catalog

Your service catalog gives prospective clients a place to discover the services your agency offers.

Open **Settings → Catalog Settings** to configure your catalog.

You can:

- Enable or disable the public service catalog.

- Customize the catalog title and introductory content.

- Set the contact email displayed in the catalog.

- Configure the supporting text and footer.

- Choose the available catalog layout.

- Control whether service prices, descriptions, and images are displayed.

- Enable the featured services section.

- Configure the checkout account mode.

Publish the services you want clients to be able to purchase and review the catalog from the client-facing view.

### Configure Your Catalog Domain

The catalog domain settings are available under **Settings → Catalog Settings → Catalog URL and domains**.

You can add a custom domain for your public service catalog and configure the DNS records required for activation.

Follow the custom domain setup guide for the DNS configuration and activation steps.

## 4. Connect a Payment Provider

Before accepting paid orders, configure a payment provider for your agency.

Navigate to **Settings → Payment Providers**.

Axumind supports several payment providers:

- Stripe

- Paystack

- Razorpay

- 2Checkout

- PayPal

- NOWPayments

- Coinbase Commerce

Payment providers are organized into different categories. Only one card processor can be active at a time, and only one cryptocurrency provider can be active at a time. PayPal operates independently.

Choose the provider that suits your business and follow its connection instructions.

Refer to the payment provider guide for more information about provider compatibility and activation.

## 5. Create Your First Service and Order Form

Once your catalog and payment settings are ready, you can start adding services.

Open **Services** and create a new service.

Choose the appropriate billing model:

- **One-time service:** For fixed-scope projects and individual purchases.

- **Recurring service:** For ongoing engagements and retainers.

Configure the service information, pricing, and other available options.

You can also build custom order forms using the visual drag-and-drop Form Builder. Add service selections, client information fields, project questions, file uploads, and payment elements as required.

Each custom order form has its own URL, which you can customize and share with prospective clients.

For detailed instructions, see the guide on creating custom service order forms.

## 6. Prepare Your Intake Forms

Intake forms help you collect the information needed to begin client work.

Open **Intake Forms** and create a form for the type of information your agency needs.

You can use the visual Form Builder to add text fields, dropdowns, file uploads, date pickers, checkboxes, and other available components.

Configure required fields and validation rules to make sure clients provide essential information.

For more information, see the guide on building custom client intake forms.

## 7. Organize Your Clients

Use the Clients area to manage the organizations your agency works with.

Client Organizations provide a shared account for the people representing a business. This is useful when several stakeholders need access to the same client relationship.

### Invite Client Coworkers

The Client Coworkers feature is available on the **Pro plan**.

You can invite additional users to a client organization and assign one of two roles:

- **Client Admin:** Can manage coworker invitations and organization membership.

- **Client Member:** Can participate in the client portal without the organization-management privileges of a Client Admin.

Client coworkers have their own accounts and do not consume your agency team seat allowance.

See the Client Organizations and Coworkers guide for more information.

## 8. Invite and Configure Your Agency Team

You can give other people access to your agency workspace and control which areas they can use.

Agency team permissions are managed through individual module permissions rather than assuming every team member has unrestricted access.

The available permission areas include:

- Clients

- Services

- Forms

- Projects

- Communication

- Files

- Billing

- Branding

- Team

- Integrations

Configure access according to each team member's responsibilities.

Remember that hiding a module from the navigation is not the same as changing its underlying permissions. Access should be managed through the applicable permission settings.

## 9. Your Initial Setup Checklist

Before inviting clients to start placing orders, work through these initial setup tasks:

- Configure your agency branding under **Settings → Branding**.

- Customize your public service catalog under **Settings → Catalog Settings**.

- Configure your preferred payment provider under **Settings → Payment Providers**.

- Create and publish your first services.

- Build custom order forms for the services that need them.

- Create the intake forms your agency uses to collect project requirements.

- Review your client organization and coworker settings.

- Invite your agency team and configure their permissions.

- Test the client-facing ordering experience before sharing it publicly.

Once these steps are complete, your agency workspace will be ready for you to begin setting up client relationships and processing orders through Axumind.
